Guidelines for Oral Presentations
These are the guidelines to prepare for the oral presentation at the 9th ICMI-East Asia Regional Conference on Mathematics Education (EARCOME 9). Please follow the instructions below carefully to ensure the smooth flow and success of your presentation.
Official Language
The official language of the symposium is English. All presentation materials must be prepared in English, and all oral presentations should also be delivered in English.
Presentation Time
Please strictly observe the allocated time. Session chairs will enforce the time limits strictly.
Plenary Lectures (PL): 60 minutes (including Q&A)
Plenary Panel Discussions (PD): 60 minutes (including discussion time)
Invited Lectures (IL): 60 minutes (including Q&A)
Working Groups (WG): 90 minutes (including Q&A)
Special Sharing Groups (SSG): 90 minutes (including Q&A)
Topic Study Groups (TSG): Time may vary depending on each group’s individual schedule
Presentation Preparation (For PL, PD, IL, WG, SSG and TSG)
* For TSG, please follow the specified format if the Chair has provided any guidelines regarding the presentation materials.
Software
All session rooms are equipped with computers running Office 2019 or later.
The screen ratio will be 16:9.
If your file was created using an older or different version of software, please check compatibility in advance using the equipment in the session room.
All presentation files must be compatible with Windows operating systems.
Important note for Mac users
If your presentation was created on a Mac, please convert your file to PowerPoint or PDF before submission.
If you are using Google Slides or other web-based platforms, please download your file in advance.
Please note that due to potential compatibility issues such as HDMI connection and voltage differences, Mac devices may not connect properly on site.
Fonts
Only standard Windows system fonts will be available on session room computers.
If your presentation uses special fonts or scientific symbols, please verify their compatibility.
The minimum font size is 12pt, and 36pt is recommended for better readability.
Contrast
Please ensure high contrast between text and background for audience readability.
Examples: White background with black text / Dark blue background with yellow text.
Images
Inserted images should be in JPG format.
Formats such as TIF, PNG, or PICT may not display properly on Windows-based PowerPoint systems.
Media Files (Videos, etc.)
Inserted images should be in JPG format.
If your presentation contains embedded videos, please store the PowerPoint file and all media files in the same folder.
On-Site Preparation (For PL, PD, IL, WG, SSG and TSG)
If you are using a PowerPoint or other PC-based application, please bring your presentation on a USB memory stick.
(Optional) If necessary, speakers may test their presentations in advance using a laptop with the same specifications as the session room in the speaker’s ready room (Room 221).
A staff member will be available in each session room. Before your session begins, please introduce yourself to them. They will collect your file and set it up on the laptop before your presentation. (It is recommended that presenters upload their presentation files directly to the session room laptop in advance, preferably during coffee breaks or when the room is unoccupied.)
Please arrive at your designated session room at least 20 minutes before the start of your session. This time will be used to meet with the session chair and fellow presenters, confirm logistics, and review the session order. (* For TSG sessions, schedules may vary by group. As presentations are mostly conducted consecutively, we kindly ask that you arrive early to ensure sufficient preparation time)
The session chair (moderator) will give you a signal 5 minutes before your time ends to help you wrap up your presentation.
